Integrity & Probity Requirements:

The position of Receptionist has low level integrity and probity requirements for which the following conditions apply:

A Probity Assessment may be undertaken through NSW Police but is not essential.

SELECTION CRITERIA

Duties

  • Provide receptionist services including answering the switchboard, transferring calls and taking certain messages when staff are unavailable to answer calls.
  • Opening and Distribution of daily mail to relevant staff before 10am every day
  • Recording and receipting of all payments received daily;
  • Recording cash and other payments received at front counter;
  • Data entry, processing and answering queries relating to accounts payable;
  • Coding and entering employee credit card expenses into general ledger;
  • Processing employee vehicle log book records;
  • Assist other accounting staff and answering queries
  • Meeting and greeting of clients, customers and external parties including couriers;
  • Organise and manage deliveries and courier services
  • Assisting with filing and records management
  • Making some travel arrangements
  • Coordinating small office contracts including milk deliveries, garden maintenance, vending machines etc
  • Keeping the reception desk and surrounding area clean and tidy at all times
  • Knowledge of staff whereabouts and maintains accurate and complete sign-in and sign-out procedures for visitors
  • Maintain a friendly and helpful attitude at all times
  • Prepare and processes outgoing mail for collection by 4.15pm
  • Assists with Stationary orders as required
  • Reports to work regularly and on time
  • Assisting management and staff with various ad hoc duties as required 

Essential:

Skills

High degree of confidentiality and initiative.

Highly developed communication skills (in oral, written and electronic communications) and the ability to develop relationships at all levels of the organisation.

Ability to relate to a range of people at all levels.

Prepared to willingly undertake a wide range of tasks to ensure achievement of required results.

An inquisitive mind and a preparedness to ask questions.

A proactive, enthusiastic team player with a result and deadline oriented focus.

Commitment to working in a team environment and adherence to the HRNSW Staff Policy Manual and Code of Conduct.

Experience

One (1) year demonstrated experience in a receptionist or direct customer service role.

Previous experience with accounts payable preferably TechnologyOne or Great Plains.

Desirable:

Knowledge of/experience in not for profit sector.

KEY RESULT AREAS

Reception:

Ensure telephone calls are answered in an appropriate and timely manner, are directed to the relevant area, and visitors are assisted.

Customer Service:

Provide prompt and efficient customer service to internal and external customers in accordance with the HRNSW Customer Service Charter.

General Administration:

Manage the distribution of incoming and outgoing mail and monitor correspondence and telephone enquiries, responding as required.

Provide assistance to the Commercial services Department as required.

Delivery of Results:

Ensure that HRNSW is measurably advancing towards best practice standards in its financial and customer service operations.

Communication and Relationship Management:

Ensure an open, positive, respectful and constructive style of communication in all interactions and engage key stakeholders in meaningful and sustainable relationships.

Ensure confidentiality and discretion is exercised in all HRNSW activities.

Accounts Payable:

Data entry, processing and answering queries relating to accounts payable.

Vehicle Log Books:

Processing of employee vehicle log records.

Occupational Health & Safety:

Participate in the ongoing improvement of OH&S plans and procedures and visibly and constantly support implementation in your area.

Shows evidence of reasonable steps taken to comply with HRNSW OH&S guidelines.

Ensure that action is taken in identifying hazards, assessing risk, and reporting incidents

Demonstrate an appropriate duty of care.
